If a student\u2019s fee category changes (for example, moving from a higher fee group to a lower one), and fees were already collected under the previous category, the difference amount may need to be refunded. Follow the steps below to adjust the category and process the refund.<\/p>\n\n\n\n

Step 1: Update the Student\u2019s Fee Category<\/strong><\/h2>\n\n\n\n

  1. Go to Settings > Finance > Fee > Student Fee Category > Allocate Students<\/strong>.<\/li>\n\n\n\n
  2. Search and select the student whose category needs to be changed.<\/li>\n\n\n\n
  3. Update the category (e.g., from Category A<\/em> to Category B<\/em>).<\/li>\n\n\n\n
  4. Click Continue<\/strong>.\n

    • The system will show two options: Reallocate<\/strong> and Refund<\/strong>.<\/li>\n\n\n\n
    • Refund<\/strong> appears only when the amount paid under the old category exceeds the new category fee.<\/li>\n<\/ul>\n<\/li>\n\n\n\n
    • Select Refund<\/strong>, then Save<\/strong>.\n

        1. Ensure Fee Refund Autonumbering<\/strong> is configured.<\/li>\n\n\n\n
        2. Navigate to Transaction > Finance > Fee > Fee Refund Process<\/strong>.<\/li>\n\n\n\n
        3. Open the Pending<\/strong> section.<\/li>\n\n\n\n
        4. Locate the student\u2019s refund request, approve it, and follow the steps to generate the refund receipt.<\/li>\n<\/ol>\n\n\n\n
